Account Payable Specialist
Position Overview
We are seeking an organized and detail-oriented Accounts Payable Specialist to drive our business forward, to help process, track, and record payments in an accurate, efficient, and timely manner to join our growing team!
The accounts payable (AP) specialist will keep our system running smoothly by managing cash flow and paying vendors and suppliers. You will have a daily, ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners.
Key Responsibilities:
- Receive, review and process invoices for appropriate documentation prior to payment
- Accurately input financial data into accounting software and spreadsheets
- Reconcile accounts payable balances with the general ledger to maintain financial accuracy
- Issue payments using various methods, such as checks, electronic funds transfers or credit cards payments
- Monitor accounts payable to ensure payments are accurate and timely
- Schedule payments in accordance with payment terms and due dates
- Maintain regular communication with vendors and suppliers to address billing discrepancies and resolve invoice or payments issues
- Accurately record and maintain organized documentation of accounts payable transactions, including invoices, receipts, and payment records
- Ensure compliance with company policies, industry regulations and tax laws
- Prepare reports and documentation for internal and external audits as necessary
Qualifications:
- High school diploma or equivalent; Associates or Bachelor degree in accounting or finance is a plus
- Proven experience in accounts payable (or accounts receivable) or similar role
- Understanding of basic principles of finance, accounting, and bookkeeping
- Knowledge of accounts payable procedures, policies and regulations
- Experience with accounting software and online platforms, familiar with HRIS systems such as Paychex is a plus
- Superb time management skills and detail orientation
- Ability to maintain confidentiality of company and partner information
- Strong mathematical skills
- Demonstrates proficiency in MS Office software, including Excel, Word, Outlook, and PowerPoint.
- Ability to prioritize, meet deadlines, and complete complex tasks.
- Ability to work closely and professionally with others at all levels of the organization.
